Save and rename presentations

Keynote automatically saves a presentation as you work and gives it a default name, such as Untitled 1. To make it easier to find the presentation, you can give it your own name and choose where to save it. At any time, you can rename a presentation or create a duplicate of it with a different name.

To save a copy of a presentation in a format other than Keynote, you export the presentation in that format.

Save and name a new presentation

  1. Click anywhere in the presentation window to make it active, then choose File > Save (from the File menu at the top of your screen).

  2. Enter a name in the Save As field, then enter one or more tags (optional).

  3. To specify where to save the presentation, click the Where pop-up menu, then choose a location. Click the arrow next to the Save As field to see more locations.

    If you don’t see the Where pop-up menu, choose a location in the dialog you see.

    To make the presentation appear in Keynote on all of your iOS devices set up with iCloud Drive, save the presentation in the Keynote folder in iCloud Drive. (To see this option, iCloud Drive must be set up on your Mac.) If you choose iCloud Drive, the presentation is saved in the main level of iCloud Drive, not in the Keynote folder.

    Tip: You can create a folder from the Save As dialog. Choose a location for the new folder, then click New Folder at the bottom of the Save As dialog. Enter a name for the folder, then click Create. The new folder is selected, so your presentation will be saved to it.

  4. Click Save.

Save a large presentation as a package

By default, Keynote saves your presentation as a single file. If your presentation is very large or has a lot of movie or image files, you may want to save the presentation as a package file to improve Keynote performance.

Some web or email services don’t allow you to upload or attach a package file. You can change a package file back to a single-file format by choosing File > Advanced > Change File Type > Single File.

Rename a presentation

Duplicate a presentation

  1. Click anywhere in the presentation window to make it active, then choose File > Duplicate (from the File menu at the top of your screen).

    A new presentation opens with its name selected at the top of the Keynote window.

  2. Type a new name, then press Return.

The copy is saved to the same location as the original.

Save a presentation in another format

You can export a Keynote presentation to save a copy of it in another format–PDF, Microsoft PowerPoint, QuickTime, HTML, Images, or Keynote ’09. Exporting a presentation is useful when you’re sharing it with others who may use different software from you. Any changes made to the exported version don’t affect the original.

  1. Open the presentation, then choose File > Export To > [file format] (from the File menu at the top of your screen).

  2. Specify export settings, which differ depending on file type:

    • PDF: Choose an image quality. The higher the image quality, the larger the file size of the exported copy. Each slide appears on its own page of the PDF. If you select “Print each stage of builds,” each build is printed on its own page, in the same order as the presentation.

    • PowerPoint: Select the “Require password to open” checkbox to add a password to the file.

    • QuickTime: If you recorded a narration, you can click the Playback pop-up menu, then choose Slideshow Recording. Otherwise, your presentation is self-playing and advances to the next slide or build according to the time intervals you enter. If you have an animation that is set to advance following a previous build or transition, it’s not affected by the time interval you entered.

    • HTML: Open the index.html file to open your presentation in a web browser. Animations and builds are also exported with your presentation.

    • Images: Choose the slides you want to export as images, and select an image format for your slides. The higher quality the image, the larger the file size.

    • Keynote ’09: Select the “Require password to open” checkbox, then enter the requested information.

      Note: The password you set protects only your exported copy, not the original file. To set a password for the original presentation, see Password-protect a presentation. If the original file already has a password, it applies to the exported file as well.

  3. Click Next, then type a name for the presentation.

    The file extension (.pdf or .ppt, for example) is automatically appended to the presentation name.

  4. Enter one or more tags (optional).

  5. Click the Where pop-up menu, choose where to save the presentation, then click Export.

    To see more locations, click the arrow next to Save As.
