Create and manage folders

You can group related presentations into folders so they’re easy to find.

Create a folder

  1. Click the Finder icon in the Dock, then choose File > New Finder Window (from the File menu at the top of your screen).

    The Finder icon is the icon with the smiling face.

  2. Navigate to where you want to create the folder (for example, the Desktop or the Documents folder).

    Tip: If you create folders in the Keynote folder in iCloud Drive, the folders also appear in the presentation manager on your iOS devices that are set up with iCloud Drive. To navigate to the Keynote folder on your Mac, click iCloud Drive in the Finder window sidebar, then click the Keynote folder. If the sidebar isn’t showing, choose View > Show Sidebar (from the View menu at the top of your screen).

  3. Choose File > New Folder.

    If the New Folder command is dimmed, you can’t create a folder in the location you chose. For example, you can’t create a folder in the All My Files section of the Finder sidebar.

  4. Enter a name for the folder, then press Return.

To move a presentation to the folder, click the presentation, then drag it to the folder.

You can also create a folder when you save a new presentation in Keynote.

Quickly create a folder containing multiple presentations

  1. Select all the presentations you want in the folder:

    • Select any set of presentations: Hold down the Command key on your Mac, then click each presentation.

    • Select presentations that appear next to each other in a list: Click the first one you want, hold down the Shift key on your Mac, then click the last one.

  2. Control-click one of the presentations, then choose New Folder with Selection.

  3. Enter a name for the folder, then press Return.

Rename a folder

  1. Click the folder, then press Return.

  2. Enter a new name, then press Return on the keyboard.

    You can use numbers and most symbols. You can’t include a colon (:) or start the name with a period (.).

Important: You shouldn’t rename app folders (such as those in the Applications folder), folders that came with your system (such as the Library folder), or your home folder—the one with your name on it.

Delete a folder

To save any of the presentations in the folder before deleting it, move them to other folders or the desktop.

The folder and its content aren’t permanently removed from your computer until you empty the Trash (click the desktop, then choose Finder > Empty Trash from the Finder menu at the top of your screen).
