View and organize folders in iCloud Drive

When you use iCloud Drive, all the items stored there—including everything in the Numbers folder and folders for other apps—appear in the spreadsheet manager. Items that can't be opened by Numbers are dimmed.

View folders

  1. In the spreadsheet manager, tap Add button, then tap iCloud Drive.

    Note: You can’t create or move folders, spreadsheets, or other items in this view.

  2. Do any of the following:

    • Search for text within your files on iCloud Drive: Tap the Search field, enter the word or phrase you want to find, then tap Search on the keyboard.

      Numbers displays all matches, but matched items that can’t be opened in Numbers are dim.

      When you are finished, tap an item to open it or tap Cancel to return to iCloud Drive.

    • Sort the items: Drag down to show Date, Name, and Tags buttons, then tap one.

      You can apply tags to files and folders in the Finder on your Mac, but you can’t see the tags in iCloud Drive.

    • Change between list view and icon view: Drag down then tap List icon.

    • View the content of a folder: Tap the folder.

      To see everything on iCloud Drive again, tap iCloud Drive at the top of the screen.

    • Return to the spreadsheet manager: Tap Done.

    • Open a spreadsheet or a Numbers-compatible file: Tap the file.

      If you tap a spreadsheet that’s located outside of the Numbers folder, Numbers downloads the spreadsheet to your device, where it appears in the spreadsheet manager. In iCloud Drive, the spreadsheet doesn’t change locations, but iCloud continues to keep the spreadsheet up to date on your computers and iOS devices that use the same Apple ID.

      If you tap a Numbers-compatible file, Numbers imports a copy, downloads it to your device (where it appears in the spreadsheet manager), and adds it to the Numbers folder in iCloud Drive.

Move a spreadsheet to another folder

  1. In the spreadsheet manager, tap Share menu button, then tap “Move to.”

  2. Tap the spreadsheet you want to move.

    Numbers displays folders at the main level of iCloud Drive.

  3. Tap the folder where you want to move the spreadsheet, then tap "Move to this location," or tap Done if you decide not to move the spreadsheet.

Even after you change the location of a spreadsheet on iCloud Drive, it appears in the spreadsheet manager. To open the spreadsheet in Numbers on Mac or Numbers in iCloud on the web, navigate to the new location.
