Add comments and highlight text

You and people you’re collaborating with on a spreadsheet can add comments to text, objects, charts, table cells, and sheets. Comments are useful for making notes to yourself, asking questions of reviewers, and conveying editorial suggestions.

You can also highlight text without adding a comment. When you don’t want comments and highlights to be visible, you can hide them.

Add, read, or delete comments

Comments are indicated with a square marker in the left margin of the sheet or next to an object. In table cells with a comment, a triangle appears in the corner. You can also add general comments not associated with specific text or objects anywhere on the sheet.

Do any of the following:

Highlight text

You can highlight text in text boxes and shapes, then add comments to it. You can’t highlight text in a table cell.

  1. Select text, then tap Highlight.

  2. Do any of the following:

    • Add a comment to highlighted text: Tap the highlighted text, tap Comment, then type your comment.

    • Remove a highlight from text: Double-tap the highlighted text, then tap Remove Highlight.

    • Remove a comment from highlighted text: Tap the comment marker, then tap Delete in the comment. Only the comment is removed; the highlight remains.

Set the author name for comments

The author name appears in the upper-left corner of comments.

  1. Tap Tools button in the toolbar, then tap Settings.

  2. Tap Author Name, then type a name.

    Any comments you made previously in the spreadsheet are changed to show the new name.

  3. Tap Done.

The name you set becomes the default name for comments and edits you make in new Numbers spreadsheets you create and in new spreadsheets shared with you on iCloud. Any existing comments in other spreadsheets aren’t updated with the new name; only new comments use the new name.

Show or hide comments
