Add comments and highlight text

You and anyone you collaborate with can add comments to text, objects, charts, table cells, and spreadsheets. Comments are useful for making notes to yourself, asking questions of reviewers, conveying editorial suggestions, and so on.

You can also highlight text and then comment on it. When you don’t want comments and highlights to be visible, you can hide them.

Add a comment

Commented text uses a color unique to the comment’s author. Any text, objects, and table cells with comments have a comment marker.

  1. Select text, tap an object, or tap an empty area of the sheet.

  2. Tap Comment, enter your comment, then tap outside the comment to finish.

To read a comment, tap the comment marker. To remove the comment, tap Delete in the comment.

Set the author name in comments

  1. Tap Tools button in the toolbar, then tap Settings.

  2. Tap Author Name, then enter a name.

    The author name appears in the upper-left corner of the comments.

Highlight text

You can highlight text in text boxes and shapes, then add comments to it. You can’t highlight text in tables, but you can add comments to table cells.

Note:  Highlights you add this way don’t appear in the printed spreadsheet. If you want highlights to print, add color behind the text.

  1. Select the text, then tap Highlight.

  2. To add a comment, tap outside the highlight, then tap to select the highlight.

  3. Type your comment.

To remove the highlight, select the text, then tap Remove Highlight. To remove a highlight that has a comment, tap the comment marker, then tap Delete in the comment.
