If you save your spreadsheet to iCloud, you can collaborate with others by sharing a link to your spreadsheet on iCloud.com. Collaborators don’t need an iCloud account to open and edit the spreadsheet in a supported browser on a Mac or Windows computer.
Note: To share a spreadsheet on iCloud, you need to upgrade your iCloud account to use iCloud Drive. Make sure your iOS device is set up to use iCloud and has iOS 8 and the latest version of Numbers installed.
If a spreadsheet is saved to iCloud, you can share a link to it via Mail, Messages, Twitter, and Facebook. (To share using one of these services, you must first set up that account in Settings on your device.)
Note: If you want to protect the spreadsheet with a password, set the password before you share the link.
Do one of the following:
If the spreadsheet is open: Tap
, then tap Share Link via iCloud.
If the spreadsheet is closed: Tap
in the spreadsheet manager, tap Share Link via iCloud, then tap the spreadsheet you want to share.
Tap the method you want to use to send the link.
The full link appears in the body of the email, tweet, or post—be sure not to delete it or modify it. You can also copy the link and share it using a different app.
Enter the requested information.
Any further edits you make to the spreadsheet after you share it are visible to the recipients of the link.
You can also copy the link to your spreadsheet and share it using other apps.
A spreadsheet has only one password. If you already added a password to your spreadsheet, that password applies when you share a link to the spreadsheet.
If the spreadsheet is already shared, you can still add a password. Collaborators will lose access to the spreadsheet until you notify them of the new password.
Do one of the following:
If the spreadsheet is open: Tap
(on iPad, tap
), then tap View Share Settings.
If the spreadsheet is closed: Tap
, tap Share Link via iCloud, then tap the spreadsheet.
In Share Settings, tap Add Password, then enter a password in the Password field.
If your spreadsheet already has a password, you can keep the password, or tap Change Password to change it. Enter the original password in the Old Password field, then enter the new password. The old password is replaced by the new one.
Enter the password again in the Verify field.
Enter a hint to remind you of the password if you forget it.
Tap Done.
You can send the link again if you wish, but it’s more secure to send the new password to collaborators in a separate communication.
Tap Done to close Share Settings.
Any further edits you make to the spreadsheet after you share it are visible to the recipients of the link when they enter the new password.
You can change whether a shared spreadsheet can be edited or is only viewable.
Do one of the following:
If the spreadsheet is open: Tap
(on iPad, tap
), then tap View Share Settings.
If the spreadsheet is closed: Tap
, tap Share Link via iCloud, then tap the spreadsheet.
Tap Permissions, tap one of the options, then tap Done.
The new setting takes effect right away.
You can share a spreadsheet link as many times as you wish.
